Responsibility:
  • Receive and greet guests as they enter the building, and navigate them to the right place
  • Supervise and guide security guards for greeting visitors, checking ID, and have them sign visitors' log
  • Be aware of guests who are expected, ongoing/upcoming programs, and the events that are occurring each day
  • Receive and answer phone calls, assist people with necessary information, and transfer calls to appropriate parties
  • Keep track of daily and monthly attendance and leave of employees
  • Maintain and update the staff sign-in sheet, contact information, birthdays, movement records, and holidays
  • Record, file and track all incoming and outgoing courier/mail, and distribute them to the right place with notification
  • Assist employees with mailing and shipping packages
  • Develop and maintain an inventory management system, particularly for food, goodies, office stationeries, toiletries, first-aid items and other consumables
  • Prepare monthly purchase orders and coordinate procurement for food, office stationeries, and other consumables
  • Assist in the admissions and registration process of program participants
Education Requirement:
  • Graduate in any discipline
Additional Requirement:
  • Excellent interpersonal communication and customer service skills
  • Strong organizational and administrative management skills with attention to detail
  • Fluent in Bengali and English (verbal and writing)
  • Good computer skills-efficiency in MS Office (Word, Excel, PowerPoint)
  • Familiarity with any employee attendance tracker and inventory management software is a plus
  • Friendly personality-cordial, approachable, and outgoing
  • Flexible with strong problem solving ability
  • Effectively interface with all levels of the organization to coordinate and oversee all of the people-related and office management activities
  • Ability to work independently and achieve positive outcomes in a team environment with individuals from diverse backgrounds as part of a team
  • Ability to make independent judgment in the performance of job assignments under general supervision
  • Ability to assume responsibility, effectively prioritize multiple duties, and produce results in a timely manner
  • Ability to follow directions and work in a self-motivated and proactive manner
