Responsibility:
  • Preparing Agenda,drafting and serving Notice of board meetingto the Board Member.
  • Arranging and attending different meeting of the board and writing Minutes of the meeting.
  • Coordinate all office activities of the Board Chairman / Vice Chairman.
  • Responsible for day to day Secretarial Jobs at Board desk with dignity & maintain punctuality and confidentiality to a high level.
  • Maintain the schedules and diary of the Chairman/Vice Chairman and ensure all appointments and meetings are updated.
  • Compose correspondence/ reports as per dictation and/or own initiative.
  • To maintain all confidential files, with particular reference to the Chairman / Vice Chairman.
  • Carrying out all kinds of e-mail correspondence on behalf of Chairman / Vice Chairman in home and abroad.
  • Coordinate with University management & other departments as per requirement.
  • Drafting letter, memo, proposals etc as per the instruction of the Chairman / Vice Chairman.
  • Attend meeting with Chairman / Vice Chairman& take notes on the discussion, prepare meeting minutes;
  • Responsible for handling all travel arrangements (domestic and international) including hotel accommodations, airline reservations, rental cars, office & site meeting venues;
  • Supervise Chairman / Vice Chairman's driver, personal security & daily working schedule;
  • Take care of Chairman's all personal matters;
  • Responsible to inform and remind the Chairman / Vice Chairman of necessary information, as and when required.
  • Assist in maintaining all schedules, appointments & Travel arrangements
  • Payment of different bills relating to the Board.
  • Maintain database on different information, reports, addresses, contact nos. etc.
  • Reporting directly to the Honorable Chairman.
  • Any other task as assigned by Chairman / Vice Chairman.
Education Requirement:
  • Minimum Graduation in any discipline from a renowned institution. Public university Preferable;
  • A' Level, Foreign degree, Graduate, Hons' in English, BBA, MBA (IBA Preferable);
  • Persons having diploma in Secretarial Science will be given preference;
  • Master degree in English from any reputed institute will be given preference.
Additional Requirement:
  • Age 25 to 35 year(s)
  • Only males are allowed to apply.
  • At least 5 year(s) at any responsible position,
  • Good computer literacy especially in MS-Word, MS-Excel, MS-Power Point.
  • Excellent command over both Bengali and English language (reading, speaking and writing).
  • Excellent calendar management skills, including the coordination of executive meetings
  • Must have a good skill on email corresponding to local and international.
  • Must be well spoken in English reading and quality report writing.
  • Ability to work under pressure and for long period of time.
  • Experience must be in related position.
  • Pro-active, smart, self-motivated and disciplined.
  • Professional telephone manner
  • Proven ability to work under pressure and to tight deadlines
  • Bright, confident personality
  • Willing to travel with Board Member if required.
